PF and ESI registration: the document checklist

What to gather before starting a PF or ESI registration, and the two documents that most often hold applications up.

Before you start PF and ESI registrations are straightforward when the paperwork is consistent. Most delays come from small mismatches rather than anything complex.

What to gather - PAN of the establishment - Certificate of incorporation, partnership deed or proprietorship proof - Address proof for the establishment - Bank account details in the establishment's name - Digital signature of the authorised signatory - Employee details: name, date of joining, salary, Aadhaar and bank account

The two that hold things up The address on your address proof must match the address on your other registrations. If you moved and updated one but not the others, fix that first.

The authorised signatory's digital signature must be active and registered to the right PAN. An expired DSC is the single most common cause of a stalled application.

After registration The obligation starts immediately. Monthly contribution filing begins from the month of registration, so plan for it rather than treating registration as the finish line.
